From unpaid invoice to organized next step.
Texas Notice Tracker brings project facts, invoice ageing, reminders and evidence into one calm workspace.
A practical setup, from facts to follow-up.
You need the contract, project parties, work dates and current invoice record. If a fact is missing, flag it for review.
- 01
Create and confirm your account
Register with your work email. If confirmation is enabled, follow the email link. Sign in, then complete your company profile so exported invoice documents identify your business correctly.
Company profile is separate from notification settings. - 02
Add the project and verify scope
Enter its name, address, county, contractor and work details. Select project type, role and tier carefully. Unsupported scenarios remain flagged rather than receiving an automatic date.
Free Workspace: one project. Founding: up to 20 projects. - 03
Record an invoice and the actual work month
Select the supported project and enter the invoice amount, issue date, due date and month work was furnished. These are separate fields; the invoice date does not replace the work month.
Check the estimate, stored facts and explanation before relying on a review task. - 04
Add evidence and record received payments
Upload the supporting records and add relevant contacts. Apply each actual payment to the correct invoice. Preserve references for partial payments and unresolved balances.
The dashboard updates unpaid amounts from saved invoice/payment records. - 05
Review reminders and exceptions
Use the on-screen review queue. Paid-plan users can enable email reminders in Settings. Completed tasks and unsupported or missing information still need an appropriate next step.
An email reminder does not send a statutory notice. - 06
Export, review and manage the account
Preview invoice documents before sharing, download your account export, and use Billing to inspect or manage a subscription. Prepare the project packet for professional help when needed.
Returning from checkout is not payment confirmation; the app verifies subscription status.
Example: invoice date versus work month
Illustrative example: work is performed during September, and the invoice is issued October 5. Record September as the work month and October 5 as the invoice date. Payment due date comes from the applicable payment terms. Review estimates use the supported work-month framework, not simply the age of the invoice.
Supported automation has a clear boundary.
| Scenario | Workspace treatment |
|---|---|
| Texas private commercial, first-tier subcontractor | Initial automated work-month review workflow, subject to accurate entered facts and professional verification. |
| Residential, public works or another contracting tier | Record the project as unsupported for automatic dates; obtain project-specific review. |
| Retainage or specially fabricated materials | Use the separate educational guides and professional review. Do not rely on the ordinary automated schedule. |
| Notice delivery, filing or enforcement | Handled outside the product by the responsible person or professional. |
If something needs attention
- No confirmation email: check your address and spam folder before submitting again.
- Unsupported project: check the classification and arrange professional review.
- Unexplained balance: reconcile invoice amounts and recorded receipts.
- Billing pending: refresh verified subscription status rather than treating a return page as proof.
Contact support with the page, approximate time and error message. Leave out passwords and confidential records.
Give your next unpaid project a complete record.
